JOB The Financial Aid Assistant Director supports the Director in the day-to-day operations of the Financial Aid Office. This position is responsible for counseling and advising students on the Financial Aid process. The Assistant Director is responsible for supervising and managing the Financial Aid office and staff in the absence of the Director. This position will serve all college locations and sites as needed; occasional travel is required. The Assistant Director will help students complete FAFSA, determine eligibility of Federal Student Aid for individual programs, package financial aid for federal, state, community, scholarships, and veteran funding to students. This position will assist the Director with ongoing review and aid processing in compliance with state and federal regulations, Federal Student Aid, ACCS Policies, and Veteran Affairs. EXAMPLE OF DUTIES 1. Complies with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System and Central Alabama Community College.2. Assists and supports the Director in the operation of the Financial Aid Office which includes, but is not limited to, federal, state, scholarship, veteran benefits, and other funding in addition to overseeing operations in his or her absence.3. Assists the Director with ongoing review of state and federal regulations, including, but not limited to Federal Student Aid, ACCS Policies, Veteran Affairs, etc.4. Assists with the update of policies and procedures and office processing documentation to ensure aid is administered in accordance with applicable guidelines5. Assists with office processes including FISAP, Return to Title IV (R2T4), Exit Counseling, Reconciliation, Federal, State, and Private funding processing and reporting, and Pell Recalculating Date (PRD), Authorization of Aid, and Supervising, etc6. Provides support for all financial aid programs (VA, TA, MyCAA, WIOA, TAA, FWS, FSEOG, ASAP, Direct Loan, Scholarships, and other funding processed by the Financial Aid Office and/or College, etc)7. Assists in preparing institutional budgets and completing required reports.8. Assists the Director in overseeing training of Financial Aid Office employees and as needed, other staff across the College and our community partners.9. Counsels and advises students and family (individual and in groups) on financial aid programs, policies and procedures, and making responsible financial decisions, etc.10. Responsible for Satisfactory Academic Progress (SAP) processes, including appeals.11. Responsible for traveling to various campus locations on a dedicated and scheduled basis, conferences, workshops, events, training, and other locations as needed.12. Responsible for transfer monitoring processes.13. Responsible for Statement of Identity and Educational Purpose (SEP) reports and reporting.14. Responsible for assisting with VA Certification in the various VA systems and required reports.15. Responsible for assisting an, as applicable, managing third party vendors and software.16. Prepares Professional Judgement files (Dependency Override, Special and Unusual Circumstances, COA requests, etc) for review and approval by the Director.17. Packages student financial aid awards, including reviewing corrections returned by the Central Processing System (CPS) for accuracy, making necessary ISIR corrections, researching and resolving data and flags, such as but not limited to, Unusual Enrollment History (UEH) flags, researching and processing bachelor degree flags, completing TIV verification, etc.18. Produces and conducts financial aid presentations in the community, service area, and on campus.19. Oversees all Banner Output files, COD, and Dataload components, including, but not limited to reviewing and resolving output files.20. Maintain a thorough knowledge of and interpret Federal Title IV regulation and guidance, state program directives, institutional awarding policies, needs analysis methodologies, federal and state law, as applicable, and office policies and procedures.21. Assists with NextGen Dynamic Forms, including building forms as required for each academic year per the US Department of Education, the Alabama community College System specifications, and other forms needed for the College.22. Maintains records for migration to Banner Imaging (BDM), maintain the latest software updates, and ensuring record security.23. Generates, reviews, and process ARGOs, or other software, reports as needed.24. Provides assistance for the Financial Aid Office, including, but not limited to, researching Banner and scholarship processes and capabilities to increase efficiency, utilizing technology (such as Excel) toimprove the efficiency of routine office tasks and workflow, maintaining remote access to aid in troubleshooting computer issues at remote locations, consulting with the College’s computer services area as needed, etc. 25. Works as a liaison with other offices at the College to resolve duplicate student numbers and social security numbers, and student information (Date of Birth, Program of Study, etc) discrepancies, reconciliation, request for presentations, training, and other request, etc.26. Maintains the security and confidentiality of all student records in accordance with the Family Educational rights and Privacy Act (FERPA).27. Serves on college committees as assigned.28. Complies with all policies of the Alabama Community College System (ACCS) and the College.29. Assists with the coordination of College and Community events including, but not limited to FAFSA events, Student Services events, etc.30. Requires, as needed and approved by the Financial Aid Director, work to be conducted outside of normal business hours.31. Assists and collaborates with Director regarding supervision and management of financial aid staff including assisting with employee evaluation process as assigned.32. Serves as a liaison and point of contact with third party vendors as needed.33. Adheres to local, state and federal policies and procedures.34. Performs other duties as assigned.
