Job Summary
The College of Agriculture and the Alabama Agricultural Experiment Station (AAES) are currently accepting applications for the position of Executive Support Specialist.
This position will provide professional administrative assistance to the College of Agriculture and AAES.
The College of Agriculture prepares students for a variety of opportunities throughout a global food, agricultural and natural resource system by emphasizing living sciences and providing challenging science-based curricula.
Graduates are prepared to become productive global citizens and to address the challenges of providing a safe, affordable food, fiber and renewable bio-energy system while protecting environmental and water resources.

Essential Functions Essential functions include but are not limited to: Maintains the daily calendar of the Dean and Director.
Makes detailed travel arrangements (domestic and international), prepares travel itineraries and compiles information for travel reimbursement.
Provides administrative support to include daily planning for meetings and presentations to ensure preparedness and successful execution.
Exercises discretion concerning highly sensitive and confidential information, disclosure of which would likely result in major disruption of operations and relationships with internal and/or external groups or the general public.
Receives and disseminates information to a wide variety of internal and external stakeholders.
Interacts with Deans, Department Heads/Chairs, faculty, and staff members to maintain positive relationships throughout the College of Agriculture and AAES; also interacts with other AU officials, legislative offices, and other external stakeholder groups.
Receives calls on behalf of the Dean and Director.
Schedules and coordinates complex meetings of administrators as directed.
Assists with project management planning and execution.
Prepares correspondence, agendas, minutes, powerpoint presentations, and reports for the Dean and Director.
Coordinates and/or participates in the planning of College and AAES events.
Serves as liaison with centralized administrative offices such as, the President’s Office, Provost’s Office, Graduate School, Office of the Vice President for Student Affairs, and the Office of the Vice President for Research.
Performs other duties as assigned.
Minimum Qualifications Minimum Qualifications Level I: High school diploma or equivalent plus 4 years of experience in administrative support services.
Level II: High school diploma or equivalent plus 6 years of experience in administrative support services.
Substitutions allowed for Experience: When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
Minimum Skills, License, and Certifications Minimum Skills and Abilities The successful candidate will possess attention to detail, accuracy, and the ability to handle confidential information appropriately; must be able to handle multiple tasks with frequent interruptions.
Excellent interpersonal communication and organizational skills are critical.
Demonstrated technical expertise and the ability to work both independently, in a team environment, and the ability to effectively communicate with all levels in the organization are required.
Minimum Technology Skills Proficiency in Microsoft Word, Excel, Powerpoint programs are required.
Minimum License and Certifications None required.
